Position Summary:
Provides general office support with a variety of clerical activities and related tasks. Receptionist duties include
answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, and
requisition of supplies. This individual will also be responsible for coordinating the site’s employee commuter
solutions program.
Office Support and Visitor Reception
- Professionally handles all incoming phone calls.
- Ensure phone calls are redirected accordingly.
- Take and distribute messages, when necessary.
- Responsible for reporting telephone problems to the IT department.
- Assists in the ordering, receiving, stocking, and distribution of supplies.
- Orders catering for meetings.
- Coordinates the pick-up and delivery of FedEx and UPS including product samples.
- Troubleshoots issues with the postage machine.
- Greet guests in a professional, friendly, hospitable manner. Advise department that visitor has arrived.
- Ensure guests sign in and sign the confidentiality agreement.
- Advises site personnel of guests’ arrival.
- Perform a variety of clerical duties; copying, faxing, filing.
- Perform other duties as assigned
Rideshare Program Coordination
Vendor Management & Billing
- Acts as the first point of contact with Commuter Van vendor on ride share program management.
- Reviews vendor bills to ensure accuracy and compliance with programs (e.g. gas cards).
Program Promotion & Employee Communications
- Actively promotes program to new and existing associates.
- Sets up routes and pick-up locations for ride share groups before a new vehicle is delivered.
- Communications with program participants on any changes in the program
Key Management
- Manages and keeps vehicle keys organized. Maintains a spare set of van keys. Collects keys from drivers who are no longer participating in the program. Coordinates with the vendor when a key is lost.
- Coordinates payroll deduction processing for associates participating in the program on a regular basis
Vehicle Maintenance
- Coordinates with van drivers completion of vehicle maintenance per vendor program.
- Coordinates with van drivers to inspect vehicles multiple times a month. Checks for any unreported damages, and ensures the vehicle is properly maintained (no mechanical issues, no warning lights, good tire pressure, lights working properly). Reports findings to vendor.
- Monitors vehicle mileage. Gets explanations for excess mileage.
Emergency & Accident Support
- Ensures drivers complete accident reporting protocols (police and vendor).
- Works with management to revoke driving privileges when necessary.
- Support in towing processes
Roster Management
- Maintain accurate rosters for each vanpool
- Complete audits to ensure accuracy of assigned assets and riders.
Van Transport
- Pick up or drop off vans as needed
- All other duties as assigned.
Minimum Qualifications
- GED/High School Diploma; Bachelor’s degree preferred
- Reading, Writing, Speaking English
- Must possess good communication skills both oral and written.
- Exhibit the skills or have the experience necessary to perform basic mathematical computations.
- Ability to use a computer ( proficient with MS Office and Google Suite applications)
- Ability to work independently and in a team environment
- Ability to work a flexible schedule as needed
- Exhibit good decision making and problem solving skills.
- Must possess excellent interpersonal skills.
- Strong organizational skills
- Ability to drive a van if needed
- Excellent customer service skills
Desired Qualifications
- Bilingual language skills - English/Spanish or English/Haitian Creole preferred
- Previous program management experience
- Knowledge of car maintenance
